Position Title: Facilities Assistant
Reports To: Site Manager

Function: General Management
Overview:
Responsible for the maintaining the facility, office administration and general services.

Dimensions:
Timely and comprehensive reporting
Internal client satisfaction

Principle Accountabilities:
Responsible for the Facilitiy Management and daily support to Bangalore LVS - Site Manager.
Provides assistance in special projects and assignments as directed by the Site Manager.
Coordinates and manages the administrative affairs (shuttle bus service, work meal, office suppliers, office equipment, mailing services, cleaning services, and etc.) with support from receptionist/Admin department
Procure office equipment (AC, UPS, kitchen appliances and supplies (maintenance, spares, stationary) within budget and time specified by site management
Maintain office equipment (AMC's and repairs for AC, UPS, kitchen appliances) and supplies (maintenance, spares, stationary).
Execute the action plan for the development of office space/ services as and when provided by the management.
Manage the housekeeping staff, electrical staff, security staff & projects
Ensure safety inside office and overall surrounding of the office.
Provide hygenic and clean environment in the pantry (Hot water dispenser for washing plates, Sun film) and in the entire office
Plan and execute maintenance jobs for the office premises whenever necessary (Ex. Conf rooms, Pantry internal touch-ups, painting, etc.).

Generator Test
Review office maintenance plan
Eliminate chair noise
Verify east side lift is locked from 2nd and 3rd floor
Verify placement of conference room and discussion room sign boards
Check lighting throughout building
Carpet Cleaning - Vacuuming, shampooing carpets
Chair cleaning & Shampooing & rearranging furniture in planned state. check chairs for damage.
Examine exterior of the building
Remove waste paper from copy room
Verify clock times
Change clock and telephone batteries
Clean A\C Filter
Coordination of new employee office space (from date of join) and providing access control
Verify or replace white boards, flip charts, markers and dusters in conference and discussion rooms
Check conference room cabling for organization and security
Check restroom plumbing
coffee vending machine service
Ensure completion of outstanding facilities work by property owner / mantainance service
Escape call capture module for staff extion wise

Education/Experience:
College degree preferred.
At least three years' related work experience
Experience in coordinating the activities of a corporate executive
Professional secretarial skills, as well as PC-based communications skill
Ability to interface amiably and professionally with people of different levels and backgrounds
Office machine usage and basic maintenance
Good communication and interpersonal skills
Good command of the English, Kannada & Hindi language
Team work oriented
Strong responsibility
Extreme versatility required as well as willingness to work extended hours when necessary
